For Service Coordinators
I have a client that may be interested. How does Stay Social work?
Stay Social hosts fun social events designed to help adults with intellectual and developmental disabilities build connections and practice their social skills. When clients join Stay Social, their funding is translated into tokens, which are used for event registration. We use an online portal where members register to attend events, and their tokens never expire, so they use them at their own pace. We have a wide variety of programming â from activity based events like Dave & Busters, Art Socials, and Bowling, to Dating and Relationship Socials, Semi-Private Golf Lessons taught by a PGA pro, clubs and small groups for more intentional friendships, and more!
What kind of support does Stay Social offer to participants?
Stay Social has a 10:1 staff to client ratio. Our events are diverse and meet the interests of a variety of abilities. Clients who require more personalized supervision and support are encouraged to bring their own support person to events. Stay Social staff do not assist with medication administration, toileting, or hands-on mobility assistance (i.e. picking up). Stay Socialâs goal is to help members build their social skills and our staff are trained to support clients. However, bullying, harassment, discrimination, threats, and physical aggression are never allowed.
How do I request an authorization for Stay Social funding?
Please request Stay Social funding through the Social Recreation Program. Please use and reference our most recent Funding Guidelines when creating the Purchase of Service. Funds can only be requested for 6 months at a time, and clients may run out of funding if they donât request enough for all the activities they would like to participate in.
I have created an Authorization. What do I do next?
Please send a screenshot of the manager approved POS to
admin@staysocialnow.com, including the Funding Dates. If there are any other service providers included on the POS, please include instructions as to how much of the POS funding is directed towards Stay Social (i.e. $1800 for Stay Social, $500 for YMCA). It is also helpful if you include the client and caregiver in the email, so we can assist them with onboarding and get them started.
FUNDING QUESTIONS
For Clients and Caregivers
I use the Social Recreation Program and I am out of tokens. What should I do?
Social Recreation funds from the SDRC are approved 6 months at a time. If you have used all of your tokens before the end of your 6 month Authorization, you must wait until the end of the authorization period to request new funding. In order to prevent running out of tokens, we recommend requesting one of our unlimited monthly memberships.
Itâs almost the end of my Social Recreation Funding authorization. What should I do?
As the end of your authorization period approaches, please reach out directly to your Service Coordinator in order to request new funding for the next 6 months. SDRC Authorizations can often take 6-8 weeks to process. In order to prevent a gap in funding, we recommend reaching out to your Service Coordinator at least 8 weeks in advance.
I am a SDP client. How do I get started?
As an SDP client, please work with your Independent Facilitator to include Stay Social in your spending plan. Stay Social is under Community Integration: 331. When you create your spending plan, please use our Funding Guidelines to decide which package or membership level you would like, and include it in your yearly budget.
Do you work with my SDP FMS?
Yes, we are currently vendorized with many common FMSâ in greater San Diego. We currently have clients that work with Ace, Arch, CIS, Accura, Accumen, Mainsl, Sentinel Four, Ritz, FMS Pay, and more. If we are not currently working with your FMS, we are able to onboard and submit our business license to become an approved vendor. Please be in contact with your FMS to start this process.
Can I purchase individual tokens in my SDP budget?
No, our tokens are sold in minimum in the 10 token package. Tokens never expire and can be used at your own pace. This allows flexibility in deciding which events fit best for you and your schedule.
I am not a Regional Center client. Can I still participate?
Yes, if you do not receive funding from the Regional Center, you are able to participate in our events Out-of-Pocket. You will be able to purchase your event registrations directly in the portal securely through Stripe. If you require need based assistance, please contact us. Our goal is to make Stay Social accessible to all.
ELIGIBILITY AND REQUIREMENTS QUESTIONS
What are your eligibility requirements?
There are only a few core requirements for joining Stay Social. First, Stay Social only serves adults 18+. We currently do not serve minors. Second, you must be able to coordinate your own transportation. Stay Social does not offer transportation services or transport clients. Third, during onboarding, you must sign our liability waiver and membership handbook. Our handbook outlines all of our Stay Social policies.
What is your staffing ratio? Do you provide 1-1 aides?
Stay Social events are staffed at a 10:1 participant-to-staff ratio, appropriate for group community outings. Our staff provides general group supervision, and not one-on-one support. Participants who need continuous one-on-one support should attend with their own support person or aide. Support persons and aides are always welcome. If an event requires an admission ticket (i.e. LEGOLAND) , support persons are responsible for purchasing their own ticket unless we note otherwise.
I want to join. How do I get started?
First, please sign up for our portal by clicking âJoin Stay Socialâ in the top right corner of our website. After you fill out the contact form, an invitation will be sent to your email to sign up for the portal. Once you create your account, please request funding from your designated source (Social Rec, SDP, or OOP). Please allow appropriate time for your funding to be approved. For the SDRC, it can take at least a month in order for funding to be authorized. If you already have an approved authorization with the SDRC, please make sure your Service Coordinator is in contact with us and sends us the POS. Once we have your funding source confirmed and approved, we can create your invoice and add your tokens to your portal, where you will register for all your events! Tokens never expire and can be used at your own pace.

EVENTS AND THE PORTAL QUESTIONS
Where are your events held?
The majority of our events take place in North County San Diego currently. We are also growing our events in other areas of San Diego, including South Bay and Central San Diego. If you are interested in participating in Stay Social and would like to see more events near you, please reach out! We can intentionally plan activities near our clients as we expand.
How do tokens work?
When you receive funding for Stay Social, your funding is applied as tokens which you will use to register for events. Each token is worth $75.
How much do your events cost?
The majority of our Events cost 1-3 tokens. Core Events (regular programming) are 1 token, Semi-Private lessons are 2 tokens, and Premium Events (once a month) are 3 tokens. We also have Clubs and Small Groups (which include a series of events), which range from 5-10 tokens for registration. Please see our Funding Guidelines for more information.
What is your cancellation policy?
We understand that schedules can be unpredictable and change at the last minute. For Premium Events, you have until 7 days before to cancel your registration and receive a refund of your tokens. For Core Events, you have 24 hours before the event to cancel. If you cancel after the deadline, you will not be able to receive a refund of your tokens. This is because we use your registrations to plan our event costs, and in many cases we have already paid for your spot.
I am having an issue registering for an event. What should I do?
If you run into an issue with registration on the portal, please use our Contact Us form or email admin@staysocialnow.com to let us know of the issue. We will be in touch with you shortly.
CLUBS AND SMALL GROUPS QUESTION
How are clubs different from normal events?
Clubs meet regularly for a set period of time with the same members, so you can develop deeper friendships over a shared interest. When you register for a Club, you are registering for a series of events (i.e. six Bowling Club meetings)
What is included in clubs?
All Club members get special perks, like cool Stay Social merch and swag bags!Depending on the club, other perks may be included, such as catered dinners or pre-paid entry into events.
How often do clubs meet?
Each club is different, based on its duration and end date. They will mostly meet either: Weekly, Bi-Weekly, or Monthly.
What are small groups?
Small groups are intentionally designed for 3-5 participants who want to grow alongside other members who share their interests and move toward a mutual goal. Built around the interest of our members, Small Groups are ongoing and led by Pro Staff.
What is the difference between a Club and a Small Group?
Clubs are designed to only occur seasonally and have a set duration/curriculum (I.e. Performing Arts Clubs meets 5 times and ends with the talent show). The benefit of a Small Group is that it is shaped around the interests and availability of those who want to participate. Want to take your pickleball skills to the next level and develop closer friendships? Join a small group of 4 members that meets weekly over the next few months. If there is a small group youâd like to start, let us know!
How many tokens do clubs and small groups cost?
Each club is different and based on their associated costs. Our current clubs range from 5-10 tokens. Small Groups also range, and can be billed 4 sessions at a time. Our Platinum Membership includes unlimited club and small group registrations.
How do I register for clubs and small groups?
You can register for clubs directly in the portal. Important: you cannot register for only one meeting. When you register, you are signing up for all the meetings. Small Groups do not have open registration in the portal, since they require an ongoing commitment. Please reach out directly to us if you would like to join an already existing small group or start one.
